FAQ

 

What if I cannot attend a meeting?

If you cannot attend a meeting you can do one of three things:

1) You can send in a blank, signed cheque with a trusted friend to the meeting (preferred). Your friend will write in the name of the charity that is chosen on the cheque and give it to the organizers on your behalf. Your friend may not vote on your behalf.  We can only count the votes of members who are present at the meeting; or

2) ONLY IF A REGISTERED CHARITY IS SELECTED - You can click on the “Make Your Meeting Donation Now” button on our homepage. That takes you to our 100 WWCHH Fundraising Page with our donation partner Canada Helps.  Select the chosen charity, make a $104 donation (the extra $4 covers processing fees so the charity receives the full benefit of your $100 donation), and fill out the required information. You will instantly receive a tax receipt from Canada Helps. (Note: Please use the link from our website when making your donation. That ensures the funds go to the specific project being funded by 100 WWCHH); or

3) If you aren’t able to send your donation with a friend, you can send your donation cheque to the group member who tracks our pledged dollars and confirms that members have fulfilled their commitment, consolidates the contributions and delivers them to the chosen charity.  After the meeting, the membership will receive an email announcing the chosen charity and providing a mailing address to which they should send their cheque. You can use that information to complete your cheque with the charity’s name and send it to the address provided. (Note: Never send a blank, signed cheque in the mail.)  Please send your outstanding cheques to us promptly, to guarantee that we can make the group’s donation in a timely fashion.

Which organizations are eligible for consideration by the group?

In order to be considered at a meeting, the organization you nominate must be based in Halton Hills and it must be a registered charity or not for profit group. It must be previously established (no start-ups). No national or international charities, programs or organizations will be considered at this time unless they can show that the funds will be directed to a specific project in Halton Hills..  At last count there are fifty-one “100 Women” Chapters in Ontario, each serving their own local communities. Halton Hills is surrounded by Chapters in Guelph, Caledon, Milton, Burlington, Oakville, and Mississauga. For that reason, we are keeping our focus local, so our nominated charities must be able to keep our donations in Halton Hills where they make a local impact. An organization that is selected for the group donation may not be considered again until three years have passed. Any member wishing to submit a charitable organization for consideration must complete our online Charity Nomination Form at least three weeks prior to the scheduled meeting. We thank you for your understanding.

Who can nominate a charity?

Only members of 100 WWCHH can nominate a charity. Any member in good standing (must have paid for at least the 3 previous organizations) can submit one charitable organization for consideration. However, she must complete our online Charity Nomination Form at least two weeks prior to the scheduled meeting.  If chosen by random draw, the nominating member then makes a simple presentation on behalf of the charity.

Who presents on behalf of the nominated organization?

The member who made the nomination, and whose name is on the ballot pulled out of the hat at each meeting, is the person who makes the presentation.  The member must be present at the meeting, or another nomination is drawn.

I want to nominate, but I’m nervous about speaking in public. What should I do?

We believe the person most capable of swaying the membership is the person most committed to the charity or not for profit being brought forth, and that would be you. Remember, it’s the passion you feel for your favourite cause, not the perfection of the presentation, that will carry the day. Consider this a wonderfully supportive community to get over your fears. If you really don’t want to speak in public, please talk with another member about nominating and presenting for your charity of choice. For consistency’s sake, our “the nominator presents” rule stands.

Can I nominate more than one organization at a time?

In order to keep a level playing field and give each member an equal chance at having her charity or not for profit chosen for consideration, you are limited to having only one organization in the hat at any given time. If your organization is successful, then you may nominate another of your favourite charities or not for profits.

Do I have to nominate a charity or not for profit?

Nomination of an organization is a privilege of membership, not an obligation. You may come to the meetings to vote and make your donation if that is your wish, but please consider more actively supporting one of the many worthy causes that abound in Halton Hills  by making a nomination.

How do Halton Hills charities and not for profits get in the running?

Simple!  Get women to sign up to be members of 100 WWCHH!   Each member of 100 WWCHH is allowed to nominate one local charity or not for profit of their choosing.  The charity must serve the Halton Hills population and must be a registered charity or not for profit to be eligible for consideration. The member must submit her completed nomination form at least one month prior to the event in order to have it vetted as eligible and  added to the “hat” from which we randomly draw three names. If your organization is chosen by the group, you are then free to nominate another charity or not for profit. Non-winning organizations go back into the hat for another chance.

Helpful tip:  A charity or not for profit CAN be nominated by multiple members.  This increases their chances of being drawn for consideration.  We must always have three different organizations for our members to consider voting for, but multiple nominations for one charity or not for profit does tip the hat in that group's favour to be drawn as one of the three. Please note: the member’s name on the ticket drawn is the person who comes up to speak for the charity, i.e. every member that nominates a charity must themselves be willing and able to get up and speak about why our group should vote for that organization and be able to answer questions from the group.

The charity or not for profit that is selected to receive our group’s donation will be invited to the next meeting to give a five minute speech on how our donation was spent and the impact that was made.

How do I find registered charities and not for profits in Halton Hills?

There are many registered charities and not for profits in Halton Hills for you to support. For a partial list, visit this Canada Revenue Agency site to scroll through some possibilities. Just remember, it must be a registered charity, and the money must remain in Halton Hills.

Does any of my donation go to administration costs of  the chosen charity or not for profit?

Members who choose to nominate a charity or not for profit are encouraged to speak to its executive director about the organization’s administrative cost ratio and include that information in their discussion of the organization.

Is it possible to put together a team of women to meet the required $400 per year?

Yes, as long as each member of the team makes a note in the memo line of their cheque which team they belong to for tracking purposes. For charity and not for profit nomination and voting purposes, each team is considered one member. That means your team may have one organization nominated at a time, and your team will get one vote at the meeting.

Is my donation tax deductible?

If the organization selected is a registered charity, then yes, you will get a tax receipt.  However, we also allow nomination of not for profit groups.  Cheques are written directly to the charitable organization and NOT to 100 WWCHH. Tax receipts will be issued directly by the charitable organization.

How is the organization that receives the group donation chosen?

When you arrive at the meeting and register, if you have previously filled out a Charity Nomination Form, you will be given a Charity Nomination Ballot to fill out and put into the hat. After the opening remarks, three charities/not for profits will be chosen out of the hat, and the nominating member will be asked to make a short, simple presentation in favour of their organization. The membership in attendance then vote. If your organization is chosen, you are then free to nominate another one, otherwise you will follow the same procedure at the next meeting for another chance.

We encourage members to participate by submitting the names of local, needy, organizations!

Can I just send the donation to the charity or not for profit group myself?

Because the goal of 100 WWCHH is to make a large donation on behalf of the whole group, the answer is no. We want to be able to support this endeavour and give $10,000+ dollars at a time to make a large impact in our community with each member’s donation being part of the larger donation. This is the power of joining forces! We also need to be able to track your donations so that you get credit for the donation and remain eligible for submitting charities and not for profits and voting at meetings.

How long do the meetings last?

Meetings are intended to be very short and no longer than 60 minutes. That having been said, there is the opportunity to socialize before or after the meeting.

Are you capping the membership at 100 women?

Absolutely not! 100 is a nice round number, but it’s only the beginning. We’d be very excited to make an even bigger impact in our community, so keep spreading the word and encouraging all the great women you know to sign up too.

Can I bring a friend along to the meeting?

Of course you can! We are always seeking women who care! However, in order to vote she will need to sign a Commitment Form and become a member. Otherwise she is free to observe and contribute a donation if she likes.

Does any of my donation go to administration costs of 100 Women Who Care Halton Hills?

Absolutely not! 100 WWCHH is organized and operated entirely by volunteers. 100% of the money raised at our meetings goes directly to the selected organizations!  Any administrative costs are covered by our sponsors or by the organizing members.

What do you do with my personal information?

100 WWCHH collects your personal information (including name, address, email address, phone number) strictly for the purpose of maintaining our membership list, and contacting you about important chapter events. Your name and address are supplied to the chosen organiztion for the purposes of issuing a tax receipt only if it is a registered charity. The chosen organization agrees to not use your information for further solicitation, and to not share any of your information with any third party, except for tax purposes. 100 WWCHH will not sell, give or otherwise share your personal information without your express consent, unless required by law.

How long does my membership last?

When you sign a Commitment Form, we ask for an original commitment of one year. At the end of that year, we continue to list you as a member until you inform us otherwise. If at any time you wish to withdraw from 100 WWCG, just fill out the Resign Your Membershipform and we will remove you from our contact list.

What about National and International Causes?

We care deeply about many national and international causes, but our focus is here in Halton Hills. IF we were to consider supporting a National organization, it would only be under the agreement that our funds would stay here in Halton HIlls.

What if I would like to speak at the meeting about any other topic?

A note on announcement requests on behalf of community groups, personal, and political interests…

 

While we appreciate your enthusiasm for wanting to share the 100 WWCHH forum to promote other causes you are passionate about, we have promised our members that we will strictly adhere to our one-hour meeting timeline. Due to this time constraint, and in fairness to all members, we must respectfully decline requests to make announcements at our meetings. Having said that, we encourage you to become a member of our organization and join us for informal networking before and after each meeting.
